Privacy Policy
How VidyaCheck collects, uses, shares, protects and deletes personal information — including the personal data of children — when your school uses the VidyaCheck app.

This Privacy Policy explains how personal information is handled in the VidyaCheck mobile application (the “App”). It applies to everyone who uses the App — school administrators, teachers, parents/guardians, students and bus drivers.
Please read together with your school. VidyaCheck is provided to schools on a white-label basis. Your school decides what information to record about students and staff and is the primary controller of that information. This policy describes the data practices that are common to all VidyaCheck deployments.
1. Who we are
VidyaCheck (“VidyaCheck”, “we”, “us”, “our”) is a school management application and a product of Amigzo Technologies Private Limited, Innov8 Ras Vilas, Lower Ground Floor, Salcon Rasvilas, D-1, Saket District Center, Saket, New Delhi, Delhi 110017, India (the “Provider”). Amigzo Technologies Private Limited owns the VidyaCheck brand and holds the VidyaCheck developer account on Google Play. The App is distributed to individual schools (each, a “School”) through Google Play under the School's own branded listing.

2. Scope and your school's role
Under India's Digital Personal Data Protection Act, 2023 (“DPDP Act”) and comparable laws:
- Your School is the Data Fiduciary / controller of the student, parent and staff information it records in the App. The School decides what to collect and why.
- VidyaCheck (the Provider) acts as a Data Processor, handling that information only to provide the App to the School, under the School's instructions and our agreement with the School.
If you are a parent, student, teacher or driver and want to know exactly what your School records about you, or you wish to correct or delete it, you can contact your School directly or reach us using the details in Section 15.
3. Data we collect
The App collects only the information needed to run school operations. Depending on your role and what your School enables, this may include:
- Identity & profile — name, role, class/section, admission or employee number, date of birth, gender, guardian details, address and category (e.g. general/OBC/SC/ST where your School records it for fee or government purposes).
- Contact details — phone number and, where provided, email address.
- Photographs — profile photos of students and staff, and photos attached to homework, circulars, complaints and the school gallery. This can include photographs of children.
- Login credentials — a login identifier (admission/employee number or phone) and an encrypted password. Accounts are created by your School; there is no public sign-up.
- Academic & operational records — attendance, homework, timetable, exam marks, report cards, fee records and transport/route assignments.
- Fees & payment records — fee dues, the payments your school records (cash, cheque or UPI), and the receipts generated. The app does not process online card/UPI payments and does not collect card, UPI PIN or bank credentials (see Section 8).
- Location (bus drivers only) — while a trip is active, the driver device's GPS location, to show the live bus position to parents (see Section 7).
- Complaints & messages — the content of complaints, notices and other text you submit (including text you dictate using Hindi/English voice input).
- Device & technical data — a push-notification token and the minimal device identifier that Firebase Cloud Messaging requires to deliver notifications to your device.
Hindi/English voice input is converted to text on your device using your phone's built-in speech engine. We receive only the resulting text, not an audio recording.
4. How we use data
We use the information above only to provide and operate the App, including to:
- authenticate users and show each role the right information;
- record attendance, homework, marks, timetables, fees and transport;
- record fee collection and issue digital receipts;
- send school notifications (e.g. absence alerts, fee reminders, circulars, bus updates) by in-app push notification;
- show parents the live location of their child's school bus during an active trip;
- generate report cards and AI-assisted remarks/summaries for school staff (see Section 9 for the AI provider);
- respond to complaints and support requests; and
- keep the App secure, prevent fraud and meet legal obligations.
We do not sell personal information. We do not use it for behavioural advertising, and we do not run third-party advertising or analytics-tracking SDKs in the App.
5. Lawful basis and consent
We process personal information to deliver the school services your School has engaged us for, on the basis of the School's instructions and the consent obtained by the School from users (or, for children, from their parent/guardian — see Section 6), and to meet our legal obligations. Where the law requires consent, the School is responsible for obtaining it before entering personal information into the App.
6. Children's data
The App is used to manage school operations and necessarily holds information about students, who are usually children (persons under 18). We take this seriously.
- The App is operated by adults. Accounts are provisioned by the School. Students who log in have a read-only view and cannot chat, post public content or message other users.
- Verifiable parental/guardian consent. Your School is responsible for obtaining verifiable consent from a parent or lawful guardian before a child's personal data is processed, as required by the DPDP Act, 2023. Consent is typically confirmed at the time the School provisions the account (for example, against the guardian's registered mobile number).
- No profiling of children. We do not carry out behavioural monitoring or tracking of children, and we do not direct advertising at children.
- Minimisation & access control. A child's information (including photographs and bus location) is visible only to that child's School staff and to the child's own parent/guardian, according to role-based access.
- VidyaCheck operates in India and handles children's data in line with applicable Indian law, including the DPDP Act, 2023 and the Protection of Children from Sexual Offences (POCSO) Act.

7. Location and bus tracking
Live location is used only on bus driver accounts and only while a bus trip is active:
- The driver's device shares its GPS position (a foreground-service location, sampled periodically) so the School and the parents of riding students can see where the bus is and an estimated arrival time.
- This is the location of the bus, for child-safety and transport operations — it is not used to monitor any individual child, and it is not used for advertising or profiling.
- Location sharing stops when the driver ends the trip. We do not collect background location when no trip is running.
- Parents and students do not share their own location with the App.
8. Payments
The App helps your school record the fees it collects (in cash, by cheque or by UPI) and generate digital receipts. The App does not currently process online payments and does not include a payment gateway, so it never asks for or stores your card number, UPI PIN or bank credentials. We retain fee and receipt records for accounting and statutory compliance (see Section 11). If online payment is added in future, we will update this policy and the Google Play Data safety declaration before enabling it.
9. Sharing and third parties
We share personal information only as needed to run the App, and only with the categories of recipients below. We do not sell data or share it for advertising.

These providers act as our service providers / sub-processors and are permitted to use the data only to provide their service to us. Some providers may process data outside India; where they do, we use providers that apply appropriate safeguards.
10. Data security
- Data is encrypted in transit (HTTPS/TLS) between the App and our servers.
- Access is role-based: each user sees only the data their role allows, and each School's data is logically separated from every other School's data.
- Passwords are stored using one-way hashing; payment credentials are never stored by us.
- We apply reasonable technical and organisational safeguards appropriate to the sensitivity of the data, including for children's data.
No system is perfectly secure, but if a personal-data breach occurs we will act promptly and notify affected users and the relevant authority where the law requires.
11. Retention and deletion
We keep personal information only as long as it is needed for the purposes above or as the law requires:
- Student & staff records are retained while the person is associated with the School and for a reasonable period afterwards, then deleted or anonymised, subject to the School's instructions.
- Fee & payment records are retained for the period required for accounting, tax and regulatory compliance.
- Bus location data is short-lived and used to display the live trip; it is not retained as a long-term location history.
You (or a parent/guardian on a child's behalf) can request deletion of an account and associated data at any time — by asking your School administrator to remove the account, by submitting the form on our Account & Data Deletion page, or by emailing support@vidyacheck.in. That page explains exactly what is deleted versus retained.
12. Your rights
Subject to applicable law, including the DPDP Act, 2023, you may:
- request access to the personal information held about you;
- request correction of inaccurate or incomplete information;
- request erasure of your information (see the deletion page);
- nominate another person to exercise your rights in case of death or incapacity; and
- raise a grievance with our grievance contact (Section 15) or the Data Protection Board of India.
Because your School controls much of the data, some requests may be directed to your School. We will help facilitate them.
13. Google Play data safety
For transparency, the data the App may collect maps to Google Play's Data Safety categories as follows. (Actual collection depends on the modules your School uses.)

Where data is handled by our service providers — Google/Firebase (push notifications), Anthropic (report-card remarks and summaries), Cloudinary (media and document storage) and our cloud host — they act only on our instructions, as described in Section 9. Data is encrypted in transit, and users can request deletion of their data. This section is designed to align with the Data Safety declaration that accompanies each School's Google Play listing.
14. Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top shows the latest version. Significant changes will be communicated through the App or your School.
